Terms
These cover the main points of hiring from JDA Hire Services. If anything is unclear, contact us at admin@jdahire.co.uk before you book.
Booking
The contract is for the hire of the equipment detailed in your quote. The Hirer is the individual or organisation who signs for it. All equipment remains the property of JDA Hire Services at all times, and acceptance of our goods and services means you accept these terms.
Availability isn't guaranteed until your booking is confirmed. A booking is confirmed when we receive your booking deposit. Written quotes are valid for 14 days and we can withdraw a quote at any time. Only written quotes are honoured.
Please give us every requirement of the order and the venue (access, parking, set-up needs) when you book. Items or services added later may cost extra and depend on availability.
Deposits and payment
DIY Dry Hire: a flat £50 deposit secures your date. Full Service: a 25% deposit, calculated on the invoice total, secures your date.
On both services the deposit is due within 7 days of booking and the balance is due 7 days before the event. You can pay the balance earlier if you prefer. Full payment is due before delivery unless we've agreed credit terms in advance.
We send an invoice. You can pay by card using the link in the invoice, or by bank transfer. Cash is accepted by agreement, for example on collection. We don't accept cheques.
We also hold a security deposit of £50 on both services against damage and loss. Larger orders can need a higher deposit, and we confirm the amount in your quote.
Cancellation
Cancellations must be made in writing, by email. An order isn't cancelled until we've received it (if you phone us, please follow up by email).
Cancel no later than 7 days before the hire start date: no charge and a full refund.
Cancel within 7 days of the start date (up to 2 days before): 50% of the hire charge is refunded.
Cancel within 2 days of the start date: no refund of the hire charge. We may refund delivery and collection costs at our discretion.
Reducing your order, including dropping delivery or collection, counts as a part cancellation and the same rules apply.
Security deposit refunds
We aim to refund your security deposit within one working day of your items being returned and checked. We refund it the same way you paid, so a card payment goes back to that card. Your bank may take longer to show it.
If you haven't received a refund within 14 days of the end of hire, contact us.
We deduct from the deposit anything you owe for damage, loss, cleaning, fines or extra charges under these terms, and invoice any difference.
Looking after the goods
From delivery (Full Service) or collection (DIY Dry Hire) until we collect them or you return them, the goods are your responsibility. Store them in secure, dry conditions. Negligence can result in loss and damage charges.
Return goods clean and dry. Crockery, cutlery and glassware must come back unsoiled, with no large chunks of food or liquid left on them. Linen and chair covers can be ruined by mildew, burns and candle wax.
Keep heated appliances at least 2 metres from our equipment, and open fires, including barbecues, at least 5 metres away.
You're responsible for checking that our equipment fits your venue. Measurements are available on request.
Dirty return charge (Full Service)
Every Full Service invoice includes a 20% charge on the hire subtotal, not including delivery. It covers cleaning items such as crockery, cutlery and glassware so you don't have to, and it's already in your quote.
On DIY Dry Hire there is no dirty return charge unless items come back damaged or soiled beyond normal use.
Late returns
Goods returned late incur the full relevant hire fee for each extra day, plus any costs we incur where other customers are inconvenienced or compensated because of your late return.
Damaged or lost items
You pay for items that are damaged or lost, at the cost of replacing them. Costs are available on request.
The charge can also include other costs we incur as a result, such as staff time, waiting, extra cleaning, and inconvenience to other customers.
We don't refund more than the value of an item if it proves faulty or isn't received, and we aren't responsible for additional costs or loss of earnings you incur.
Delivery and collection (Full Service)
Delivery and collection is a flat £50 within our usual area. Venues further away may cost more, and events inside the central London congestion charge zone carry a flat additional £18. We'll confirm any extra in your quote.
Delivery and collection times are agreed with you. We usually arrive Monday to Friday 08:30 to 19:30 and weekends 09:00 to 17:00. Our driver will aim to call 15 to 30 minutes before arriving, but can't guarantee it.
You're responsible for giving us adequate legal parking for our vehicle for as long as we need to deliver or collect. Parking tickets and fines caused by a lack of it will be passed on to you and may be deducted from your security deposit. Tell us about any venue requirements in advance, such as driver details, access restrictions, steps or long distances to carry.
If we can't access the venue, or you or a representative aren't there at the agreed time, redelivery, recollection and waiting charges may apply.
For collection, leave goods ready in the way they were delivered: glasses in boxes, chair covers in bags, cutlery in the right crates, and everything together in one area. Extra labour charges may apply if it's scattered or not ready.
We check and count goods at delivery and collection, but some items, such as catering equipment and linen, can't be fully checked on site. We'll check them in a controlled environment afterwards, and any charges for damage, loss or dirt will be reported to you.
If we're late, we'll always aim to arrive as scheduled, but traffic and weather can get in the way. We recommend scheduling delivery at a time that leaves room for delays. If we're at fault, we may refund part or all of the delivery fee depending on how late we were. We don't compensate beyond that.
Set-up is done once, to a plan agreed beforehand. If you want changes on the day, or the plan changes, we may charge for the extra time.
Collecting and returning yourself (DIY Dry Hire)
You need to show valid photo ID, a passport or driving licence, before we hand over the goods. Anyone collecting for you, including a courier, also needs to show photo ID.
Use a vehicle suitable for carrying the goods safely. We can refuse to release goods if you don't have one.
We aren't responsible for waiting charges from a courier. Give the courier your name, your order and our contact number, and keep in touch with us about when they'll arrive.
We agree collection and return times with you.
Our equipment and prices
Prices shown on the website are an invitation to treat, not an offer. Photos are kept up to date, but items can differ slightly from the images.
We'll do everything we can to meet your order. If an item is unavailable we may substitute a similar one of the nearest specification.
